MHC Peninsula Club board meeting

Anne Raphael’s database update:

 

She has taken the database from AIS and enhanced it!

There has been no way to take the College’s update and compare it with the old database to see what has changed.  Supposedly, the new version of Excel can do this.

Maintaining our own database is important because we need to include who has paid dues, who has a good place for hosting events, former volunteers, etc.

Jill will forward names of people who have paid dues for Anne’s databse.

 

Jill’s Treasurer’s report:

 

Dues:

We have 37 members who have paid dues

Someone actually complained about paying dues because we do an emailed newsletter.

The reason we still charge dues is that there are some members who don’t have email and they get mailed paper newsletters occasionally.  It also offsets the costs of events where we have to pay a deposit and then some people don’t show up.  Goodie bags to our local students at MHC.

We need to work harder to encourage people to pay dues.  Also, remind people they can make additional donations that the club will send to the College.

 

Reimbursement:

There is a form on the website for reimbursement of volunteer expenses.

One of the lines allows you to consider your expenses a non-cash contribution to the club.

You can even get reimbursed for mileage if you provide rides to club events.

Maybe publicizing this donation option is a way to encourage people to share rides and host events.

 

Donation Form:

Jill made a small form that encourages people to donate to the kitty at events.  This gives people a tax-deductible receipt for their donation.  Club dues, however, are not deductible.

 

Newsletter:

Remind people to pay dues

Thank the people who have paid dues so far.

 

Budget:

 

We have $3504.73 in the bank right now.

Last year, we ran into the red, but this year, we’re okay.

 

Holiday luncheon:

Cristina did a great job finding the restaurant.  The food and ambiance were great and the price was very reasonable.  The chef came out to thank Jerri twice!

25 people made reservations, and we were only charged for the 20 who showed up.

We collected money up front, and did not refund to no-shows.

This is the first time in recent history that we made a profit on an event

This is probably because a few people paid and didn’t show, and because we added $5 to the cost of admission.

This was the first year we didn’t have to pay for no-shows.  The restaurant only charged for those who actually ate lunch.

 

Other club income:

$70 donated to the alumnae scholarship fund

$100 since June from the bed and breakfast program

 

Club expenses:

The only expenses sent to Jill since June: $420 for the restaurant

If anyone else has mailing expenses, get them to Jill for reimbursement or donation credit.

 

Budget, looking forward:

Budget the newsletter costs for people who don’t have email

Anne Raphael has been paying for this so far, but board members shouldn’t have to.

Let Jill know if you are planning an event so she can budget for some reimbursement

 

Admissions events:

1. Yield event in mid-April

2. Rose drop to accepted students with note of congratulations – Budgeted $60

We usually have 30 from the Peninsula and South Bay and 5-10 from the Monterey Area

Delivering the roses at schools is nice because you can drop off several at a time and it’s nice publicity for MHC.

Board members felt they could help with this.

Include a note with the rose to let students know about the yield event.

3. Summer sendoff event in July – Budgeted $225

 

Other future club events:

Bake sale in conjunction with another event

Auction?  Too much work because of tax laws.

Care packages in the Fall:  We have never had a budget for the care packages, but we could plan for about $150.  Since they’re hand-carried to Alumnae Council, there’s no mailing cost.

 

Young Alumnae event:

The decades brunch or lunch was a big success.  We should try to do this for the young alumnae.  There are about 40 graduates from the past 5 years.  We could plan a gathering from 95-2005 or just 2000-2005.  Maybe a wine tasting?  Downtown Mountain View dinner?  We could recruit someone out of the group who’s willing to provide input and get the event going.  Maybe we could even host a lunch or brunch at the home of an alumna.

 

Events:

 

Jan – Ano Nuevo $65 collected.  There are two more people who want to go, so they’ll bring $20.  Split cost of parking.  Meet at parking lot: 280 to 92 toward Half Moon Bay.  Before you go over the bridge that separates Crystal Springs Lakes, get off.  Take 35N to SF near the Reservoirs, just before the bridge at the traffic light.  It’s not an official Park ‘n Ride lot, but everyone can park there.  Jan. 28 at 8:45am at the parking lot.  Mapquest link to the parking lot would be helpful.

 

Feb-Founder’s Day Tea at the King George Hotel.  $30 per person.  Barb is collecting money for both clubs.  We have not incurred any expenses.  The cutoff for reservations is Feb. 17 and Barb will put the cost on her credit card.  Verity may also be collecting money through PayPal on the club’s website.  People are delighted to pay this way and they love it.  We know some aren’t comfortable with it, but those who enjoy using it will be more likely to pay dues and event fees.

*Jill will set up a  PayPal account using the club checking account.

BOOK AWARDS:

The Mount Holyoke Club of the Peninsula received a letter congratulating our book award donors.  Our club ranks second in the nation for book awards!

 

RECENT CLUB EVENTS:

December luncheon

- Paid for itself because of the $5 cushion added to the lunch price

- Allied Arts in Menlo Park - For $20, it was okay, but the food wasn't that great. 

- Nice turnout  [about 20?], good event.

- We felt a little rushed

- They were a little disorganized handling our reservation.

- The Crocodile Café in 2003 was more relaxed and we were taken care of well.

Año Nuevo/elephant seals

- Cancelled

- Needed a minimum quantity well before we knew how many people were coming.

- Alternate way to arrange trip: take SamTrans and then you won't have to worry about parking or a reservation.  Consider this for next year.

Anne Raphael is going to start planning an event for people in the classes of the 1930's and 40's.  Waiting on more info.

Feb. 26 Mary Lyon Tea at The Ritz in San Francisco. 

Sponsored by N. California Club.

MHC Professor Donald Weber is coming to California on vacation in Feb., but he's not planning to do any events.  He's just on vacation.  We'll still invite him and his wife to be our guests for the tea.

His upcoming book is called Haunted in the New World: Jewish American Culture from Cahan to "The Goldbergs".  He will come to this area again in the Fall, and he will attend book fairs and alumnae events.

BED & BREAKFAST

Hasn't been used a lot.  $35 a night.

Marilyn and Jill each hosted once last year. 

San Francisco doesn't do B&B's, so maybe we should make people more aware of our proximity to SF.

 

FUTURE EVENTS OF INTEREST OUTSIDE THE CLUB:

Volunteers needed for Daffodil Days

- Jill is the Chair of Daffodil Days for San Mateo County American Cancer Society

- Saturday, March 19 is the day to prep flowers (location TBA)

- They need about 30 volunteers but last year, 50 showed up.

- Contact Jill if you'd like to volunteer.

- People with arranging experience will be directed by a florist to do corporate arrangements.  Everyone else will tie bunches of 10 flowers.

- Also, volunteer drivers are needed on Monday, March 21 to deliver the flowers.

Anne's Goals for the Future:
         Provide more services and programs for students at the college and new grads.
         Provide More outreach to older members through
                  Visits to Assisted Living Facilities
                  Provide rides to club events

Book Awards - Sharon Nelson Barber and Stephanie Wick
         19 Schools being served with awards,  records are now on a computer,. and communication is now easier.  Additional schools were proposed, especially in areas south of San Jose. 
        
Ivy Alliance participation will be managed by Katie Kerns who will be attending meetings in San Francisco.

A meeting for those participating in the Mentoring Program by the Harvard Club will be held June 9th at Arthur's Restaurant in Santa Clara

Once business was completed, we held elections. The slate passed unanimously:

         Co-Secretaries:  Betty Cheng & Marilyn Bauriedel

Additional Positions were also filled:

                  Katy Kerns, Barbara Monks, Liz Cowell - Northern Area, work with other
clubs including San Francisco to coordinate joint events

The new officers then took over and led a discussion of possible programs.   We will try to hold many of them in the next 12 months:

August 1 - Ann Lyles McPhail will host at her house a send off for new students going to MHC and their families.  Club attendance will be limited to active club volunteers, board members and recent grads.  Attendees will be asked to contribute a dish to a pot luck lunch

July Book Group Meeting - Reading book by Lora Roberts called "The Affair of the Incognito Tenant: A Sherlock Holmes Mystery."  Date will be at the end of July.

Saturday October 9 - Fall Tea at Lisa's Tea Treasures. Featured speaker Kat Meads will speak and read from her book "Sleep."
        
Also in the works:

A "Stitch N' Bitch" Group to be formed - a group for knitters, needlepointers, crocheters and embroiderers.  Jerri, Barbara and Nancy are going to set up the first meeting and invite all club members.

Scrapbookers Group:  Betty Cheng will set up an instructional meeting and invite all club members.

Two different Photography Meetings were discussed:
         One on Digital Photography Basics.  Some discussion of inviting the owner of the Dark Room in San Carlos to be a speaker. Joan Winters will look into this.
Betty Cheng also has a co-worker, Ellen Yang, who is willing to give a demo on how to use Photoshop to touch up digital photos. Betty can bring a laptop (which has photoshop) and she has access to rooms on campus with projectors & what not.

         One in Santa Cruz with a club member whose husband is a photographer for National Geographic.  Lois Graham will look into coordinating this meeting.

Jill Breckenridge will work on setting up a meeting to discuss the upcoming election and the political issues involved possibly involving the AAUW or League of Women Voters.

Anne Raphael and Jill Breckenridge are looking at putting together a Gardening forum and trip to Yerba Buena Native Plant nursery for anyone interested.

A discussion was held of an outing to the San Francisco Zoo. 

Our club has not held any fund raising activities lately.  We might contribute to the scholarship fund with items being sold through
Auction Works or Ebay.  Lois Graham will be getting some information to share on this.

Gloria Barnes is going to work on setting up an outing to Ano Nuevo to see the Elephant Seals.

In Early December there will be a Holiday Lunch at a local shopping area. Allied Arts may again be available..

In February/March - the Mary Lyon's Birthday Tea at the Ritz with the San Francisco Club will continue for the third year.

In June we  will have elections and an annual meeting.

Admissions: Anne MacPhail is back coordinating in our area, and Christine Ilangakoon will continue in the Monterey area.  Volunteers who signed up to help are: Jill Breckenridge, Sharon Nelson-Barber, Jerri Barrett, Katy Kerns.

A good time was had by all.  Thanks to Jill for being a great hostess and
thanks to everyone who brought treats for the group.

We briefly discussed Alumnae Council and Anne R. will follow-up to invite a club Board member to attend.

9/13 - Community event is ready to go. Anne will bring bread and pastrami, Janet will bring beverages, Ellie will bring brownies.

9/21 - SF Opera event invites went out. Only 2 RSVPs so far.

10/18 - Mountain Day is ready to go!

11/15 - SJ Walking tour. Jo will confirm Rep theatre. We are all set with this.

12/13 - Left Bank in Menlo Park will be the restaurant for our Annual Holiday Luncheon. $30 for members, $35 for non-members.

Janet and Ellie will put together a survey on programs for the members for possible programs in 2004.

2. Newsletter and Communications

We agreed upon a schedule for email updates and newsletter mailings:

Email updates will be sent the first Monday of every month. Information for the updates are due to Anne by the last Monday of every month.

Newsletter will be mailed 3 times a year, July, November, and April. The newsletter will be timed to replace the email updates for those months.

The next mailing will be a newsletter/directory mailing. It will be the November mailing, but since we are going to work through the college for bulk mail rates, the final draft of the newsletter is due to Anne on Sept 18 th . Please submit your information for the newsletter ASAP !

3. Treasury and other Forms

We agreed that a membership card and "form" note to members who have paid their dues would help let those members know that their dues had been received and remind them what member year they had paid for. Anne Beyer is going to work on putting this together.

We also agreed that a "welcome to the area" form letter would be appropriate. Anne Raphael will work on this.

4. Other

We asked Solandra what type of young alumnae event would be successful. Solandra suggested that we plan one that had flexible arrival and departure times, something very casual like a barbeque in a park, and that had men there as well. The Janet and Ellie will research possible events that qualify under this description.

Connections with the Northern California Club
Tara Eastcott '00 - Executive Dir. Of Clubs for the Alumnae Association - is planning a lunch to coordinate organization and collaboration between the Peninsula Club and Northern California Club. It will be March 21 in San Francisco. Others planning to attend include:

Internship wanted
There's a Mount Holyoke student looking for a summer internship. She's a first year studying Physics. NASA Ames research center? Nancie will check at San Jose State. (The original request came in as an email from Lauren Cook, and is copied below:)
I got a rather unusual call today from the father of a first-year student at MHC - I'm hoping that you can help me with his request. The student, Ariella Zemach-Bersin, is from Philadelphia but used to live in the Bay Area. Her father is hoping that she might be able to find work in the Bay Area (either a job or an internship) related to science or math this summer, as she is just rediscovering a love for those two fields. She has taken Physics and Calculus this year at MHC and enjoyed both quite a bit. She'd like to be in the East Bay (she has family here and housing), but would take pretty much anything open in the Bay Area. David (the father) called me in the hopes that the local clubs could put the word out about this. Let me know if you would feel comfortable sending out a short email blast about this - any responses could be sent to David at dzbersin@aol.com. He's hoping to harness the famous power of our alumnae network, and would be most grateful for our assistance! Thanks.

Plan: Do a quick email calendar update soon, then do a regular newsletter sometime in early to mid-April in time to get June 4 meeting in everyone's calendar.

Anne will be seeing Tara Eastcott soon and we will ask her if she can print and mail the next newsletter for us. Maybe we'll do that one on paper so everyone gets the bylaws and announcement about the annual club meeting. This would be our free mailing for the year. Can we also get a directory for free? Maybe we can have them all mailed at once. As a compromise, we could always have them print and address the newsletter and charge us for the bulk rate mailing fee. We could do the newsletter as our free mailing for this year including the draft of bylaws, then, we could put the accepted bylaws in the directory and use that as next-year's mailing.

Possible Budget items

Book Awards
In the past, we've put about $200 towards book awards.
Total disbursements have been higher than collections because of events and mailings.
Agreed that if we have over $700 in the treasury right now, we will give about $200 to book awards this year. Agreed to check with Janet and get the book award chair a number quickly.

Dues
Through newsletters and email, let's start showing positive things that we've been doing to display benefits of paying dues.
Last year, we had about 20 active members. We have 46 dues-paying members right now. Several years ago, we had 70, so we're on our way.
(We have almost 400 alumnae in our area, so we want to get more to pay dues and come to meetings.)

Moved to Tuesday, April 8 at 7pm at Anne Raphael's house.

Family Picnic
Moved from May 4 to May 18. We'll meet at noon with a picnic lunch. We'll tour the ranch and take an optional hike. It's free! Kids are welcome. They have scheduled tours but we can go whenever we want because Janet Hall Schwind is a docent. There's a flat walk out to the ocean. The beach is a bird preserve. Marilyn B. will be there to help identify birds.

April Volunteer activity
" Rebuilding Together" renovates homes for people who need special assistance. They do a big drive in April that used to be called Christmas in April. There's one for the Peninsula and one for Santa Clara. They will try to get us working together. They love having people with physical manual labor-type skills. It was mentioned in one email but it's time to ask for real RSVP's in another email. If this falls through, we can go do a Samaritan House cooking and gardening project that Anne knows about.

Now that we're making it an elected position, we need to find someone to nominate for the office of membership chair. Maybe Marilyn? She may also be involved with Bed and Breakfast, so maybe that's a lot to do.

Amanda Langer plans to continue with the newsletter. Mari Ellen would like to share the Vice Presidency with someone else. Shared offices will be allowed under the new bylaws.

We'll have talks from local alums who work for non-profits and then we'll sort food.

Presumably, we'll do another Ritz Carlton tea in February 2004 because this year's was fun and well-attended.
